Terms of use
Last updated 23 October 2026 (agreements, academy moves, closures, content ownership, distributor sharing)
Clavia is a learning platform. Manufacturers run branded training academies on it, installers and other professionals train and earn certificates in them, and distributors and independent reps see what that training means for their business. One Clavia account works across every academy.
These terms apply to everybody who uses Clavia — the website at clavialearning.com, every academy on it (at clavialearning.com/a/… or on an academy’s own clavialearning.com address) and every dashboard. Part 1 applies to everybody. Part 2 also applies if you run an academy, and Part 3 if you use Clavia as a distributor or an independent rep. By creating an account, or by using Clavia, you agree to them. How we handle personal information is in the privacy policy, and cookies are in the cookie policy; both form part of these terms.
For a manufacturer, these terms are its agreement with Clavia, together with the order form its signatory signs on its academy’s Documentation page and the Data Processing and Sharing Agreement. Where the order form’s special conditions differ from these terms, the special conditions apply. Where a distributor or rep has a separate signed agreement with Clavia, that applies alongside these terms and wins if the two differ.
Clavia is provided by Clavia Ltd (“Clavia”, “we”, “us”), trading as Clavia Group, registered in England and Wales (number 09537694), George Court, Bartholomew’s Walk, Ely, Cambridgeshire, CB7 4JW.
Part 1 — Everybody
1. Your account
- An account is for one person. It works on every academy, so there is never a need for a second one, and it must not be shared.
- You must be at least 16 to have an account.
- Give accurate details and keep them up to date — your name and company appear on your certificates, and your work address is how training and suppliers near you are found.
- Keep your sign-in details to yourself. You can sign in with a password, or with Google, Microsoft or LinkedIn, and switch on two-step verification under Sign-in security. Tell us straight away if you think someone else has used your account.
- You are responsible for what is done with your account.
- If your account was moved to Clavia from an earlier academy site, you are asked to agree to these terms the first time you sign in, and your training record and certificates from that site carry on here.
2. Academies, and joining one
- Each academy is run by its manufacturer, which decides its courses, its content and its own policies. Clavia provides and operates the platform it runs on.
- You can look at an academy’s front page without joining. To go further you join it — by adding it on its welcome screen, with a class code, or by accepting an invitation — and agree to any policies the manufacturer lists there. Joining is your choice, and it is what lets that manufacturer see your training in its academy (see the privacy policy).
- Opening a course in an academy you have joined starts it for you, and your progress is recorded from then on.
- Some courses or modules are paid for. One payment opens them for you for good; payment is taken by Clavia through Stripe, with any sales tax or VAT added at checkout. A code from the academy can open them instead. Refunds are at Clavia’s discretion, and do not affect your rights under the law where you live.
- A manufacturer may change or unpublish its academy, or its agreement with Clavia may end and the academy close. The certificates you earned there stay on your record and keep verifying either way.
- If an academy closes and you have joined another manufacturer’s academy, your account carries on as before, with your training record from the closed academy kept on it.
- If an academy closes and it was the only manufacturer’s academy you had joined (Clavia’s own academy does not count), your account is made dormant: you cannot sign in, and nobody sees your details. Your training record is kept with it. We email you when this happens. To carry on using Clavia, sign up again with the same email address and confirm it, and your account and training record come back.
- An academy that is not yet published may show a “coming soon” front page; its courses open once it is published.
3. Learning, quizzes, assessments and certificates
- Take quizzes and assessments yourself, without help from anybody else, and do not copy, record or share their questions or answers.
- Each course sets its own rules — pass marks, attempts, time limits, and any course or quiz that must be passed first. They are shown before you start.
- A certificate records that you passed, dated the day you passed. Each has its own code that anybody can check at clavialearning.com/verify. We confirm your email address before a certificate is released to you.
- A certificate may expire on the date its academy sets, and may be withdrawn if it was obtained dishonestly or issued in error. A withdrawn certificate still shows as withdrawn, with the reason, when its code is checked.
- Points, levels and badges reward your learning. Your level reflects the certifications you currently hold, so it can go down when a certification lapses; it is not a qualification in itself.
- Suggested courses and training plans are suggestions, made from the courses on Clavia and what you tell us about your work.
4. Classes and live webinars
- A class code or an invitation gives you a place on a class. Invitations are personal: one can be accepted only by the account with the email address it was sent to.
- Your attendance is recorded — by the code given out in the room, by your trainer, or for a webinar by the time you are present in it.
- Notes you make on a class’s slides are private to you. Questions you ask go to that class’s trainer, and their answers come back to you.
- Live webinars are recorded, and their chat is kept. Recordings are shown only to people with a place on that class and to the academy’s team. Your camera and microphone stay off unless you switch them on.
5. Forums
- An academy may have forums for its members. What you post is seen by that academy’s members (or by the people the forum is for), not by the public.
- Keep posts relevant, honest and respectful. No spam, advertising, unlawful, abusive, misleading or confidential material, and nothing that infringes somebody else’s rights.
- To keep bots out, a new member’s posts wait for a moderator and cannot contain links. Posts may be checked automatically for spam. Any member can report a post.
- The academy’s team and its moderators may hold, remove or pin posts, close threads and stop somebody posting. Removing somebody from an academy’s forums does not affect their account or training.
6. What you add to Clavia
You keep ownership of what you write or upload — forum posts, questions, feedback, project plans, your profile and photo. You allow Clavia, and the academy you share it in, to store, show, translate and use it to run the academy and the platform, for as long as it is on Clavia. Feedback on modules is shown to manufacturers anonymously. You confirm you have the right to share what you add, and that it is lawful.
7. Using Clavia properly
You must not:
- copy, download, record, resell or redistribute an academy’s courses, videos, documents or questions, other than for your own training;
- use bots, scrapers or automated tools on Clavia, or try to get round its limits, checks, padlocks or payments;
- try to get into another person’s account or another academy’s data, probe or test Clavia’s security, or interfere with how it works;
- upload anything harmful (such as malware), or use Clavia to send spam;
- pretend to be somebody else, or misrepresent a certificate.
8. Content and intellectual property
- Each academy’s courses, videos, documents, questions and branding belong to its manufacturer, or to Clavia where Clavia licenses them to that academy. You may use them for your own training only.
- The Clavia platform, its design and software, Ava and the Clavia name and logo belong to Clavia.
- Accreditation shown on a course (for example AVIXA renewal units) is the manufacturer’s statement about that course; the accrediting body decides what it accepts.
9. Paid courses and access codes
- Most training is free to learners. An academy may charge for a course; the price is shown before you pay, payment is handled by our payment provider, and a completed payment unlocks that course for your account.
- An access code or coupon from a manufacturer may give free access to a course. Codes are single-use unless stated, are personal to the person given them, and may not be sold.
- Your legal rights as a consumer, including any right to cancel, are not affected.
10. Ava and other automated help
Ava, Clavia’s assistant, answers questions about how to use Clavia from Clavia’s own guide, and some features use machine translation or AI (for example translating pages, checking forum posts for spam, or summarising a manufacturer’s figures). Automated answers and translations can be wrong — check anything important, and course content in its original language wins.
11. Other services
Clavia links to and works with other services — for example videos hosted on YouTube or Vimeo, sign-in with Google, Microsoft or LinkedIn, sharing a certificate to LinkedIn, and payment. Their own terms apply to them, and we are not responsible for them.
12. Availability and changes
We work hard to keep Clavia available, secure and accurate, but it is provided as it is and as available. We may change, add or remove features, and occasionally something will not work as it should or will be paused for maintenance. We keep your training record and certificates throughout.
13. Our responsibility to you
Nothing in these terms limits liability that cannot be limited by law, such as for death or personal injury caused by negligence, or for fraud. Otherwise, we are not liable for indirect or consequential loss, or for loss of profit, business or opportunity, and our total liability to you in connection with Clavia is limited to the greater of £100 and the amount you paid us in the twelve months before the claim. A manufacturer is responsible for its own academy’s content and courses.
14. Suspending or closing an account
- We may suspend or close an account, or remove content, that breaks these terms, puts others or Clavia at risk, or is required to by law. Where it is fair to, we will tell you why.
- You can ask us to delete your account at any time (see the privacy policy). Deleting it removes your training record and certificates, which then stop verifying.
15. Changes to these terms
We may update these terms as Clavia develops. The date at the top shows the latest version. If a change matters to how you use Clavia, we will tell you, and may ask you to agree to the new version.
Part 2 — Running an academy (manufacturers)
This part applies to a manufacturer that runs an academy on Clavia, and to everybody acting for it.
16. One platform, one shared community of learners
- Your academy is part of the Clavia platform. The people who join it have one Clavia account that they also use across the rest of Clavia — they can join and train in other academies, and keep their account, their record and their certificates whatever you decide about your academy. You agree that your academy’s learners are members of the wider Clavia platform in this way.
- What stays yours is protected. No other manufacturer ever sees your learners’ activity in your academy, your courses, your content, your reports or your figures. Each academy’s data is kept apart from every other’s, and this separation is tested automatically. Across the platform, other companies see your learners only in anonymous counts, never smaller than five — with one exception, which is the learner’s choice: a distributor with a paid subscription sees by name a learner who has switched on Share my training with distributors and named that distributor as somewhere they buy (§23). It never sees your reports or figures.
- You see a learner’s profile and training in your academy, from when they join it. You never see their training with any other manufacturer.
17. Your academy, and who owns its content
- Your academy is licensed to you, never owned. The academy itself — the Clavia platform it runs on, its design, layout, software, features and tools, and the academy as built and run on Clavia — is Clavia’s intellectual property, licensed to you only for the term of your agreement. You have no ownership rights in it at any time. When your agreement ends, so does your right to use it: you may not use, copy, reproduce or distribute the academy or any part of it. This does not affect content that is yours (below).
- Content in your academy is one of three kinds, and each course or item is one of the three — your order form says which:
- Content you add, or give Clavia to use on the platform, is yours. Your own courses, videos, documents, certificates, question banks and branding remain yours. You give Clavia a license to host, store, show, translate, adapt and deliver them on Clavia, for as long as your academy is on Clavia, and to keep backups.
- Content you buy outright from Clavia becomes yours. Once it is paid for in full it is license-free: you may use, copy and distribute it as you wish, and Clavia keeps no ownership of it.
- Content you subscribe to from Clavia is never yours. Where Clavia builds content and licenses it to your academy for a regular fee — videos, question banks, quizzes and assessments, certificates and anything else made for it — it remains Clavia’s property. You may use it only in your academy on Clavia, and only while the subscription is paid. You may not download, copy, transfer, sublicense or use it anywhere else, and it is removed from your academy when the subscription ends. Certificates your learners have already earned with it keep verifying.
- We keep your content secure and only within your academy (and any other academy you choose to share a course with). We do not offer it to other manufacturers or use it for anybody else.
- Clavia uses machine translation and AI services to translate your academy and to help build it (such as course frameworks, scripts and question suggestions); our providers do not use your content to train their models. Translations and suggestions are yours to check and correct.
- You confirm you have the rights to everything you add, including videos from YouTube or Vimeo, and that it is accurate and lawful. Say that a course is aligned to an accrediting body’s requirements, never that it is approved, unless that body has approved it.
18. Learner data in your academy is shared between you and Clavia
- When a learner joins your academy, their profile and their training in it are shared between your company and Clavia. Clavia uses it to run the platform and the learner’s cross-academy record; you use it for your own purposes. Each of us is responsible for its own use of it under data protection law.
- You may run any report on your own academy and use the results for your own marketing, training, business and data purposes — including downloading them as spreadsheets — provided you do so lawfully and under your own privacy notice. Send marketing only to learners who have agreed to hear from you (each learner chooses this when they join your academy, and can change it), and honor any request to stop.
- Module feedback reaches you anonymously, and some figures are held back until there are enough responses to keep them anonymous. Do not try to identify who said what.
- Keep what you download secure, share it only with people who need it, and tell Clavia promptly about any request or problem that affects Clavia’s part.
- You may list your own policies on your academy’s welcome screen; learners agree to them when they join.
- Moving an existing academy site to Clavia. Earlier academy sites, and the data in them, are owned and run by Clavia. When your academy moves onto Clavia, on a date agreed with you, Clavia copies its learners’ accounts, profile details, enrolments, results, certificates and marketing choices into your academy — only between systems Clavia runs, never through any other company. From then on those learners’ information is shared between you and Clavia as set out above, and each learner agrees to these terms at their first sign-in. Clavia then closes the old site.
- Moving learners from a site Clavia does not own. If you ask Clavia to move learners onto your academy from a training site of your own (or one run for you by another provider), that data is yours, not Clavia’s. You instruct Clavia in writing; Clavia moves it on your behalf, only for that purpose and under our data processing agreement. You are responsible for having the right to share it with Clavia and for telling those learners before the move that their accounts and training records are moving to Clavia, and why. Once it is moved, these terms apply to that data as to the rest of your academy. Each learner agrees to these terms and Clavia’s privacy policy at their first sign-in; until then, Clavia holds their account only so it is ready for them.
19. Unpublishing or closing your academy
- You may unpublish your academy. Unpublishing hides it — learners see a “coming soon” front page and cannot open its courses — and deletes nothing: publishing it again brings it back as it was.
- You understand that everybody who has joined your academy keeps their Clavia account, their access to Clavia and to every other academy, and the training record and certificates they earned in yours, which keep verifying.
- If your use of Clavia ends, your academy is unpublished and its content is kept for a reasonable period so it can be restored, or so content that is yours (§17) can be handed back, unless we agree otherwise. Subscribed content is not handed back.
- When your agreement ends, your access to your academy’s data on Clavia ends with it; what you downloaded while it ran remains yours to use under §18. Learners who have also joined another manufacturer’s academy keep their Clavia accounts. Learners who joined only yours (Clavia’s own academy does not count) have their accounts made dormant, with their training records kept, until they sign up again. Their certificates from your academy keep verifying.
20. Your team and its access
- Clavia gives your company’s administrators access to your academy’s console. Inside your academy you may make people Customer admins, Teachers, course teachers and forum moderators; each sees only what that role allows, and never your console unless Clavia grants it.
- Keep your administrators’ sign-ins secure, remove people who leave, and make sure everybody acting for you follows these terms.
- Where Clavia manages your academy for you, the building tools are Clavia’s to use; you keep your figures, reports, classes and the other tools shown to you.
21. Marketing tags
- Only Clavia administrators add, change or switch off marketing tags (Meta Pixel, Google Analytics or a Google Tag Manager container). You may ask for them from your academy’s Marketing tags page.
- Tags run only on your academy’s own pages, only for visitors who agree to the cookies, and never for your own team. A Tag Manager container runs only once Clavia has checked, tested and approved it, and is switched off again if it changes.
- Tags must never collect anything that identifies a person, read or change what is on the page, record sessions, or load other scripts, ads or widgets. You are responsible for the data your tags collect, under your own privacy notice. We may switch any tag off at any time to protect learners or the platform.
22. Term, renewal, plans, payments and paid courses
- These terms apply for as long as your academy is on Clavia and you keep paying for it. Nothing needs re-signing to continue: your order form — signed on your academy’s Documentation page — sets your plan, price and any special conditions, and any change to these terms follows §15.
- Your agreement follows how you pay (your order form says which):
- Paying monthly: it runs from month to month, with no fixed term. You may close your academy by telling us in writing one month in advance — Cancel the service on your academy’s Documentation page, or an email; it closes at the end of the month after your notice, and that month is paid as usual.
- Paying a year in advance (with its 10% discount): it runs for that year and renews for another year, paid in advance, unless you tell us in writing before the renewal date (on the Documentation page, or by email). If you close your academy during a paid year, it stays open until the end of that year, and no part of the year’s fee is refunded.
- Content subscriptions are separate. Content you subscribe to from Clavia (§17) has its own term and price, agreed when you take it on; closing your academy does not change them, and ending a content subscription does not close your academy.
- Your academy is published once your order form is signed and your first payment is made. When a cancellation takes effect, Clavia unpublishes the academy at the date and time it confirms to you (§19).
- Paid courses are switched on by Clavia once we have agreed terms with you; those terms are shown on your academy’s Paid courses page and in your agreement.
- If you charge learners for a course or a module, you set the price, and you are responsible for what you promise about it. A course is charged for whole or by its modules, not both. Access codes and coupons you create are yours to give out.
- Every payment is taken by Clavia, through Clavia’s own payment provider; you may not take payment for Clavia courses any other way. Each month, your sales less Clavia’s agreed fee are credited against what you pay Clavia — never more than those charges in that month, and never paid out. Refunds are made by Clavia and come off that month’s credit.
Part 3 — Distributors and independent reps
Your access to Clavia — its dashboards, reports, figures and tools — is licensed to you, never owned, for as long as your account or subscription runs. The platform and everything it shows you, other than your own company’s information, is Clavia’s intellectual property. When your access ends, so does your right to use it: you may not keep using, copying or distributing any part of it.
23. Distributors
- Names come with a paid subscription, and only with the learner’s say-so. A distributor with a paid subscription sees by name a learner who has switched on Share my training with distributors and named that distributor as somewhere they buy — their training, and what they choose to share. Every other learner, and everybody while there is no subscription, appears only in anonymous counts, never smaller than five.
- Use what you see only for your own business with those customers, keep it secure, do not pass it on, and stop contacting anybody who asks you to. If a learner switches sharing off, or changes or removes their choice, they disappear from your named list.
- A distributor may look around academies but never takes part in their figures, and cannot post in their forums.
24. Independent reps
- A rep sees counts only for the manufacturers and distributors they represent — never a learner’s name and never a manufacturer’s own figures.
- Invite only companies you genuinely represent, and do not use Clavia to send unsolicited messages.
Law and contact
These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction — but if you live elsewhere you keep the protection of your local consumer laws and may bring a claim where you live.
